VMOTEK guided walkthroughs for onboarding and daily work

Use these walkthroughs to learn common VMOTEK workflows in a practical order. Each one identifies where to begin, what to complete and how to confirm the result before moving to the next task.

1. Owner onboarding and readiness — 6 minutes

Start at Settings → Setup & Readiness. Explain company versus shop settings, open the company profile and one shop profile, then show Team, Roles & Permissions and shop access. Return to readiness, select Recheck and explain required versus optional evidence. Finish by showing where to configure payment methods, communications and integrations.

2. Appointment and capacity setup — 4 minutes

Open Settings → Business Basics → Appointment & Capacity. Configure operating hours, one appointment type, duration and request-versus-confirm behavior. Open the public booking link, submit a training request, then return to Appointments to accept or schedule it. Verify the correct shop, source and capacity are retained.

3. Inspection finding to approved work — 5 minutes

Open a training work order, apply an inspection template and record a technician finding with severity, note and photo placeholder. Convert it to a recommendation, send the customer approval, record the decision and show how approved labor and parts become executable work while declined work remains in history.

4. Customer return and vendor RMA — 6 minutes

Begin from a paid training invoice and return one stocked part. Explain condition, restocking fee, destination shop, credit memo and refund versus account credit. Then open a received PO, create and approve a vendor RMA, download the return memo, mark shipment and record supplier credit. Verify inventory movements and financial documents without modifying originals.

5. Payment, customer credit and refund — 5 minutes

Open an unpaid invoice. Record cash tendered, explain change, then show a configured non-cash method and reference. Apply existing customer credit, open payment history, refund part of the original payment and finish in Reports → Payment Reconciliation. Explain customer credit balance versus customer credit limit.

6. Multi-shop inventory and procurement — 6 minutes

Select All shops and find an item across locations. Switch to one shop, create a purchase request, consolidate demand, approve the purchase order and receive into a selected location. Demonstrate Quick versus Controlled transfer as determined by the source shop's policy. Verify stock and activity at both locations.
