Reserve in-stock parts for scheduled service

Use this workflow when approved inventory-linked items are already available at the shop that will perform a future appointment.

1. Confirm roles and prerequisites

Run this workflow with named users and representative test data before using it with a customer. An owner or manager configures the policy; operational staff execute only the actions their role and shop access permit. Confirm the active shop in the header before creating a transaction because appointments, work orders, inventory movements, purchasing and invoices retain that location.

  • Advisor: builds the inventory-linked estimate and schedules the approved visit.
  • Parts or inventory staff: validates local on-hand, committed and available quantity.
  • Technician: consumes actual quantity through the work order.
  • The estimate line must link to the company inventory item rather than use description-only text.
  • The appointment must identify the performing shop and approved estimate.

2. Execute the workflow from beginning to end

Follow the sequence below in order. Continue from the record already created instead of recreating the customer, vehicle, estimate, appointment or work order. At every handoff, reopen the destination record and confirm its source relationship, shop, status and amounts before proceeding.

  • Inventory: select the performing shop and find the item; verify This shop, Committed and Available quantities.
  • Create the estimate with the linked item and requested quantity, obtain approval and select Schedule appointment from that estimate.
  • Choose the allowed date/time and save. Review requested, reserved and shortage quantities on the linked appointment.
  • Reopen Inventory and confirm available quantity decreased by the reservation while physical on-hand remains until consumption.
  • At check-in, continue into the linked work order so the work-order commitment becomes authoritative rather than adding another reservation.
  • During repair, record actual part fulfillment/consumption. Complete and invoice the actual authorized quantity.

3. Test the blocked and exception paths

A workflow is not ready merely because its normal path succeeds. Repeat the test using the conditions below. VMOTEK should explain why an action is unavailable, retain the existing record and prevent duplicate, stale, unauthorized or physically impossible activity. Do not bypass a business control by creating an unrelated replacement record.

  • Manual text-only lines must not pretend to reserve stock.
  • Cancellation, no-show or expiry must release the active reservation.
  • A second appointment must not reserve the same approved estimate quantity twice.

4. Verify records, inventory and financial effects

Open the related records after execution and reconcile them. The customer and vehicle remain company-wide identities, while the appointment, estimate, work order, inventory activity, purchase or transfer, invoice and payment retain the responsible shop. Status labels are operational evidence—not substitutes for checking quantities, totals and source links.

  • Inventory activity distinguishes reservation/commitment from final consumption.
  • The estimate, appointment and work order identify the same item, quantity and shop.
  • Invoice quantity and value reconcile with actual fulfilled work-order quantity.

5. Confirm customer communication

Use the customer's permitted contact channel and preserve delivery status. A sent message does not equal approval, payment or receipt. Continue only from the authoritative decision or transaction status. Email and SMS availability depends on the shop's connected providers, customer contact data and consent settings.

  • Appointment confirmation can identify the quote and visit details after reservation review.
  • Notify staff/customer if later inventory corrections make the reservation incomplete.

6. Completion checklist

The journey is complete only when the final business outcome and the expected audit trail agree. Record any failed check, correct configuration or source data, and rerun the scenario from a clean test record.

  • Available quantity changes at scheduling without prematurely reducing physical on-hand.
  • Check-in converts demand without double commitment.
  • Completion consumes the correct shop quantity and cancellation releases it.
